Sorry that issue one has been seriously delayed by the goings on here. However we are off and running with issue 2. The following information is critical for issue 2 authors.

wplc editors.

Here is a copy of the submission instructions for the previous issue. All of the procedures are the same, but the dates have changed. Any incorrect dates are due to copy and paste errors.

In addition this is a much smaller issue than the last all the dire warnings regarding deadlines and such can be taken a little more lightly.

However we did reject papers in the previous issue and will do so again if the paper does not meet the standards of our editors.

For your convenience the following email has been divided into a number of sections. Please read the entire email, but hopefully the sections will make it easier to find particular information at a later point.

As this email is in plain text I have tried my best to make use of whitespace and capital letters to draw attention to important points. I am not digitally screaming at you every couple of paragraphs or so.

GENERAL INFORMATION:

Thank you for your interest in publishing your conference paper in our journal. This year we are trying a new online submission system so please be patient with any errors that may arise. You can always contact me and the editorial team from this email, wplc@uvic.ca.

All papers must be submitted by midnight PST July 8th 2011. Any late papers will not be considered for publication.

All papers are to be submitted online using the Open Journal System instance that we are using. Any papers sent to this address without prior permission will be discarded and not considered.


ACCOUNT SET UP INFORMATION:

The first step in the submission process is to make an account with the Open Journal System we are using to manage WPLC. To do this go to: journals.uvic.ca/index.php/WPLC/

Please make sure to register as an author. The box to select this is the very bottom of the registration form.

The information with astrices is required, the rest of the information is optional and you can skip.

You MUST USE the SAME email address that you contacted me with. If you use a different email address we may loose track of your submission and discard it entirely.


SUBMISSION INFORMATION:

To submit your paper follow the instructions for each step as they appear. To start a submission log in and click the link to start a new submission at the bottom of the page.

First Page: Make sure you have met all the check box requirements. Comments to editors is optional.

Second Page: Make sure to upload the most recent version of your paper. We will not evaluate uploads of more recent versions after the submission deadline. Before the deadline you can resubmit using by logging in and modifying your submission.

Third Page: Simply make sure all the information with astrices is filled. You should only have to add the title of your paper. You can include the other info, but that is not necessary.

Fourth Page: You should not have supplementary files. If you do include reasoning in your comments to the editors on the first page. If you don't include reasoning we will ignore supplementary files.

Fifth Page: Review your submission and submit! That's all.

If you make multiple submissions your chronologically latest submission will be the only one evaluated. All others will be deleted after the deadline.

Submissions can be started and completed later. At any point in the process just click the "User Home" link at the top or the "author" link and all the previous steps will be saved for you to return to.

ATTENTION: The most recent step will not be saved unless you click the save button at the bottom of the page!


PROBLEM RESOLUTION:

Feel free to email this account with any problems! The previous version of this was full of dire warnings but as there are many less of you this time around just email me. I will get back to you before deadlines, although how close I cut it will vary.


SUBMISSION DETAILS REMINDER:

As detailed in your program guide the pages are limited to a maximum of 9 pages. Longer papers will be returned after first review with notice that they must be shortened by the author.

LATE PAPERS:

Late papers will not be considered unless you have emailed us before the deadline with the details of how the situation is outside of your control and will cause you to be late.


PAPER LENGTHS

This issue will be publishing three sections, short papers, long papers and posters. If you have a paper based on your poster no need to submit the poster itself but you can if you wish.

Short papers: Ideally these are 9 pages long and will be edited. They are due on July 8th midnight PDT. Editor suggestions will be returned to you by July 22nd. Then the corrected version of the paper will be due August 19th.

Long papers: Any paper longer than 20 pages will be considered a long paper (as opposed to short papers that have acquired extra pages). These papers will not be edited and are due on August 19th. At that time we will be formatting and publishing Issue 2.

ACCEPTED FILE FORMATS

All paper submissions must be in the form of a Microsoft word document. The accepted file extensions are:
.doc
.docx
.rft
All other file formats will be returned to the authors with a request for a compliant format. If you submit a noncompliant format on the final day of submissions, July 8th , you will have until midnight PST July 9th to submit a compliant format. Submission instructions will be included in the format rejection email.

All poster submissions must be in pdf format. All other formats will be automatically rejected.

DATES

July 8th 2011 - short papers due
July 22nd 2011 - editor comments on short papers returned to authors August 19th 2011 - all papers due for formatting and publishing.
